Attendance sheet template

Name your class and dates, or attach your roster, and Sparky builds the attendance sheet: one row per student, one column per day, with each student's totals and percent present worked out by formulas. Download it for Excel, open it in Google Sheets, or start from our blank template.

A teacher attaches last week's attendance for 6th period and asks for a sheet for October 5 to 16. Sparky builds it with one row per student, a column for each school day and Days Present, Days Absent, Days Tardy and % Present columns, then asks how to count tardies and unmarked days

Used by 250,000+ teachers, and built to FERPA, COPPA and GDPR standards.

How the attendance sheet maker works

  1. Name the class and dates

Tell Sparky which class and which days, such as "my 6th period, October 5 to 16". Attach a roster or last week's marks as an Excel or CSV file, or let Sparky use your class in Flint.

  2. Check the formulas

Sparky builds the sheet beside the chat and works out the totals with formulas. Click a total to see its formula, and ask Sparky to change how anything is counted.

  3. Take attendance

Type a P, A or T in each day's column and the totals update. Download the sheet for Excel or CSV, or open it in Google Sheets.

What the attendance sheet tracks

  • A column for each school day

One column for each day you take attendance, headed with its weekday and date. Name the days your class meets if it isn't every weekday.

  • Totals for each student

Days present, absent and tardy for each student, counted from the codes in their row with COUNTIF.

  • Percent present

A whole number worked out from the days you've marked, so it means something before the month is over.

  • A count for each day

Ask for a row that counts how many students were present each day.

  • Your roster, from Flint or a file

Sparky fills in the names from your class in Flint, or from an Excel or CSV file you attach.

  • Your own codes

Use P, A and T, or add your school's codes, such as E for excused or V for virtual, and ask Sparky to count them.

Free blank attendance sheet

Prefer to start from a file? Download the blank attendance sheet (Excel). It has 30 student rows and 20 day columns to rename with your dates. Days Present, Days Absent, Days Tardy and % Present work out as you type P, A or T, and the last row counts the students present each day. A second tab explains the codes.

Ways teachers use it

  • A month at a time

A tab for each month, with that month's school days as columns.

  • Excused absences

An E code for excused absences, counted apart from the rest.

  • Students who miss the most

A column that flags any student whose percent present drops below the number you set.

  • Clubs and after-school programs

A sign-in sheet for each meeting, with a count of how many sessions each student came to.

Frequently asked questions

Is the attendance sheet template free?

Yes. The blank Excel template on this page is free to download, and making attendance sheets with Sparky is free for teachers.

What should be in an attendance sheet?

Each student's name, a column for each day with a code such as P, A or T, and totals for each student: days present, absent and tardy, and percent present. A count of students present each day helps when the office asks.

How do I make an attendance sheet in Excel?

Download the blank template above and type in your names and dates. Or ask Sparky for one, then press Download and choose Excel (.xlsx). The totals stay formulas in the file, so Excel updates them as you type.

Can I use it in Google Sheets?

Yes. A sheet Sparky makes has an Open in Google Sheets button that saves a copy to your Google Drive. For the blank template, upload the Excel file to Google Drive and open it with Google Sheets.

Can Sparky use my class list?

Yes. If your class is in Flint, Sparky can fill in the names from it. Otherwise attach your roster as an Excel or CSV file, or paste the names into the chat.

Does a tardy count as present?

That's your call, so tell Sparky. In the blank template a tardy counts as present, and percent present counts only the days you've marked, so a sheet that's half filled in still shows real percentages.

Can I change the sheet after Sparky makes it?

Yes. Type codes and names straight into the cells, or ask Sparky in the chat, such as "add a column for excused absences". Each change Sparky makes saves a new version and keeps the old one. For grades instead of attendance, use the gradebook template generator.
