Staff meeting agenda template
Tell Sparky how long the staff meeting runs and who covers what. Sparky writes the agenda: every item with its minutes and an owner, adding up to the time you have. Or start from the free blank template in Word.

How the staff meeting agenda maker works
Say how long the meeting runs
Type one line, such as "45-minute staff meeting agenda with an owner for each item". Sparky writes a first draft straight away, with owners by role until you name people.
Add who covers what
Tell Sparky the day, the room and who leads which item. Sparky updates the same agenda and changes the minutes so the items still add up.
Share it with staff
Open the agenda in Google Docs, download it as a Word file or print it. Ask for slides in the same chat to put it on the screen.
What goes on a staff meeting agenda
Minutes that add up
Every item has its minutes, and together they fill the meeting. Add a topic and Sparky takes the time from the others.
An owner for each item
The person who leads each item, by name once you've said who, so no one is surprised when it's their turn.
Time, place and roles
The date, time and room at the top, with a line for the facilitator and, if you ask, one for the note-taker.
Last week's action items
Ask for last week's action items at the top, each with its owner, due date and status.
Topics with an outcome
Each main item names what it should produce, such as a decision or a plan, so the time goes to work that needs everyone there.
Next steps with dates
The meeting closes with who does what by when, which is the list your follow-up email to staff needs.
Free blank staff meeting agenda
Prefer to fill one in by hand? Download the blank staff meeting agenda (Word). It is set up for letter paper, with lines for the date, time, place, facilitator and note-taker, a table for last week's action items, six agenda rows with columns for minutes and owner, and a next steps table with owners and due dates.
Ways school leaders use it
End-of-year staff meeting
Shoutouts and staff recognition first, then small-group reflection on what worked and what to change.
First staff meeting of the year
Introductions, the year's goals, key policies, team updates and a look at PD, each with its time.
One template for every week
A weekly agenda to copy each week, with blanks for the date, room, facilitator and each item's time and notes.
The follow-up email
Paste your notes after the meeting and Sparky writes the email to staff with each action item and its owner.

Frequently asked questions
Is the staff meeting agenda template free?
Yes. The blank Word template is free to download, and making agendas with Sparky is free for school leaders, coaches and teachers.
What should be included in a staff meeting agenda?
The date, time, place and length; each item with its minutes and the person who leads it; and a closing item for next steps, with an owner and a due date for each. A weekly meeting also opens with last week's action items.
What should be discussed in a staff meeting?
Items that need the whole staff in the room: a new process everyone has to follow, results everyone should see, and planning for a shared event such as conferences. Reminders that need no discussion can go in an email instead.
How is a staff meeting agenda different from a PLC agenda?
A staff meeting brings the whole faculty together for updates, school-wide processes and shared events. A PLC is a small team looking at its own students' data or work, so its agenda is built around discussion questions and decisions about teaching. For a PLC, use the PLC agenda generator; for a full day of training, use the PD day planner.
What can we do at an end-of-year staff meeting?
Celebrate first, with shoutouts, staff recognition and the year's milestones. Then give staff time in small groups to reflect on what worked and what to do differently, and close with something short, such as each person sharing one word for the year. Tell Sparky how long you have and it times each part.
Can it make slides for the meeting?
Yes. Once the agenda is ready, ask "Turn this into a slide deck" in the same chat. Sparky makes a title slide, a slide for each item with its time and owner, and a closing slide. Present them in Flint, open them in Google Slides or download them for PowerPoint.
Can I share the agenda with staff?
Open it in Google Docs and share it from your Drive, or download it as a Word file. You can also copy it, print it or type straight into it in Flint.
